This article aims to clarify the concept of a Provisional Shipment, also known as a reserved timeslot, and offers guidance for carriers when utilizing this feature for booking shipments that lack a transport order.
To access the shipment screen, follow the familiar process you use for adding or modifying shipments.
Step 1: Identifying Provisional Shipments.
Reserved timeslots, indicated by a calendar icon adjacent to the capacity icon and lacking associated orders or transport orders, are referred to as provisional shipments or reserved slots. We recommend that customers allocate an anticipated number of packaging units to these shipments to secure the necessary resources.
These shipments serve as reservations. To confirm them, you must provide accurate principal, reference, and volume information. Depending on configuration settings, provisional shipments are automatically voided if not confirmed within 24 hours (default) before the scheduled shipment date/time.
Step 2: Selecting and Confirming the Provisional Shipment
Upon selecting the provisional shipment, the right-hand detail pane becomes visible and the context menu becomes operational.
Choose 'Edit Shipment'
You can modify/verify:
- The customer: Opt for the required principal, with the default being the first on your list
The reference - The intended packaging units
- It's important to note that extending the number of needed timeslots is restricted during freeze time. However, you can adjust the packaging unit count, provided the estimated timeslots are adequate.
Additional packaging units can be added even if more timeslots are required, provided you're not within a freeze time.
You can add extra packaging units, even if you need more time slots when you are not in freeze time.
Step 3: Booking the Shipment
Once the shipment is booked, it transitions into a standard shipment that can be edited, deleted, or canceled in accordance with the rules for any other shipment. The calendar icon will no longer be displayed.
Step 4: Managing Provisional Shipments
Typically, the warehouse manager establishes a rule where provisional shipments are removed 24 hours prior to their scheduled date-time. This rule can be customized to different timeframes at the discretion of the warehouse manager
