This miniguide describes the following steps
- Invite your subcontractor carriers to participate in the community
- Assign your package to your subcontractor
- Follow up the performance of your subcontractor
Prerequisites
- Be a carrier in the community of your customer.
- Have company name, VAT N° or the email of a responsible user of your subcontractor at hand
2. Invite your subcontractor as carrier.
It all starts with an invitation for the role 'Carrier' to your subcontractors. Login as Primary Owner, Company Owner or Administrator.
Enter the community where you need a subcontractor and go to the menu option ‘Companies’. You will have to repeat this step for every community where you deliver transport services and you need a subcontractor.
Inviting your carriers is free. The collaboration on the inbound and outbound operation is completely free for the carrier role, no strings attached. You can invite as many carriers that you want. But restrict this number to a practical list. It’s you that has to support your carriers in the use of the Streamliner platform.
There are 3 possible situations when inviting a company
- Your carrier is already known in the community as a carrier. In that case, the invitation is literally one click away
- Your carrier is already known with his company on the Streamliner platform, but not yet in this community. In that case, it will take 2 clicks for the carrier to accept the invitation. Please use the company name or VAT N° to search for, not an email.
- Your carrier is not yet known on the Streamliner platform. In that case, you need an email to invite a representative of the carrier company. The carrier has to register it’s company, based upon his VAT N°, just like you did. Please pass the mini guide ‘Onboard as carrier’ to the representative of the carrier.
2.1. Your carrier is known in the community.
Browse or search the list of companies to see if your carrier is known with the role ‘carrier’.
If the company exist, simply select the company and push ‘Invite this company’. Do not use the 'Invite' button in upper left corner.
The users at carrier's site who are responsible for the invitations will receive an email with your invitation. These are the Primary owner, the company owner(s) and the administrator(s) from the carrier company. You do not have to worry about the email, but if needed, just consult the company that you just invited.
Or click on ‘Invite’, a dialog box will open and you can type in the name or VAT N° of the company you are looking for.
You will see the message 'You can't invite a company again that is already part of this community ' if you clicked on 'Ok' instead of selecting the company in the left column.
Just click on the left on the name of the company and choose for 'Invite this company'
2.2. Your carrier is known on the Streamliner platform.
Click on ‘Invite’, a dialog box will open and you can type in the name or VAT N° of the company you are looking for. Also a partial name will work. Streamliner starts searching as soon as you type 3 characters.
If the company exists, simply select the company and click on Ok.
The representative(s) of this company will receive an email with the question to accept your invitation, just like in previous case.
2.3. Your carrier is not known on the streamliner platform.
This will take a couple of minutes work from your carrier. Please pass him the miniguide to onboard and assist him in joining the platform. His subscription is free so there’s no reason why you should hesitate to invite him.
Click on ‘Invite’, a dialog box will open and you can type in the email of the representative of the carriers company.
This person will receive the following mail, similar to the mail that your company received.
2.4. Follow up your invitations
You can follow on company level if your subcontractor has accepted your invitation yes/no. You can resend the invitation, change the email address or delete the invitation if the carrier is not willing to collaborate.
You will also see on your dashboard that you have pending outgoing invitations
Only carriers that have accepted your invitation to collaborate can be selected to forward your package. It's logical that they first have to accept your invitation before you can pass the work.
3. Forward your package to another carrier.
Goal is that the subcontractor will take over the transport services and book the shipment. But you are in control and you can consult AND interact on any moment. You can perform the same kind of actions on a shipment that is booked by your subcontractor as on a shipment you booked yourself.
Click on the menu option ‘Packages’
3.1. Packages overview.
This is your main overview screen with all open packages, that are placed at your company from all suppliers or principals that are using your carrier services. Or even from other carriers if they used your company as subcontractor.
1. Select the package that you want to hand over to your subcontractor.
2. Click on 'Edit package' like you do when you want to change something in the package, like the volumes.
3. And forward your package to your sub-carrier.
- click on Forwarder
- select one of the carriers you invited in the dropdown list
- save changes via 'Pack'
And that's it!
All carriers that you invited and that accepted your invitation can be used as subcontractor.
You can change the subcontractor as long as no shipments are made for this package
3.2. Collaborate with your subcontractor.
You AND the subcontractor can perform almost the same actions as soon as you assigned a package to them.
- Package is in the list of packages for your subcontractor,
- Subcontractor can book a slot, change a slot or cancel a slot
- Subcontractor can place comments, add and consult the attachments, add and consult the issue list.
- You can communicate with your subcontractor via the comments on the package or the shipments. But remember, the comments on a package are shred with your customer. The comments on the shipment are shared with your customer, the warehouse and your subcontractor.
You see in the detail if your package is forwarded.
3.3. Functionality for your subcontractor
The functionality that is available for your subcontractor is identical as what you can with 1 exception. Your subcontractor can not forward the package or change the subcontractor.
4. Follow up if your subcarrier takes the initiative to book a slot.
As soon as your sub-carrier book a slot, the first dot becomes green, identical as when you would book the slot.
You are informed by notification for every create or update that happens on a shipment by your subcontractor.
Communication by using the comments on a shipment is perfectly possible, but remember that this is visible for all parties.
5. Communicate with your sub-carrier, your customer, the warehouse and share documents.
You can use the communication layer to follow up your sub-carrier on the package and on the shipment. Your carrier will receive an email with your question. This information is shared with your customer and with the subcarrier.
