A user in your company will be invited to onboard your company in a streamliner community.
This miniguide describes the following steps
- Invite your carriers to participate in the community
- Create a transport order and assign to a carrier
- Follow up if carrier takes the initiative to book a slot
This miniguide is one of the 4 mini guides that are available to support your use of the Streamliner platform. Read more in the following mini guides
- Onboard as supplier
- Book an appointment to deliver goods
- Involve a carrier and follow-up (this one)
- Collaborate on the reception of goods
Prerequisites
- Be a supplier in the community of your customer.
- Have company name, VAT N° or the email of a responsible user at your carrier site at hand
2. Invite your carrier.
It all starts with an invitation to your carrier(s).
Enter the community an go to the menu option ‘Companies’
Inviting your carriers is free. This collaboration is free. The subscription is paid by the company that has invited you as a supplier. You can invite as many carriers that you want. The N° of companies that can participate in the community is not limited. But restrict this number to a practical list. It’s you that has to support your carriers in the use of the Streamliner platform.
There are 3 possible situations when inviting a company
- Your carrier is already known in the community as a carrier. In that case, the invitation is literally one click away
- Your carrier is already known with his company on the Streamliner platform, but not yet in this community. In that case, it will take 2 clicks for the carrier to accept the invitation.
- Your carrier is not yet known on the Streamliner platform. In that case, the carrier has to register it’s company, just like you did. Please pass the mini guide ‘Onboard as carrier’ to the representative of the carrier.
2.1. Your carrier is known in the community.
Browse or search the list of companies to see if your carrier is known with the role ‘carrier’.
If the company exist, simply select the company and push ‘Invite this company’. Do not use the 'Invite' button in upper left corner.
The users at carrier's site who are responsible for the invitations will receive an email with your invitation. These are the Primary owner, the company owner and the administrator from the carrier company. You do not have to worry about the email, but if needed, just consult the company that you just invited.
Or click on ‘Find companies to invite’, a dialog box will open and you can type in the name or VAT N° of the company you are looking for.
You will see the message 'You can't invite a company again that is already part of this community ' if you clicked on 'Ok' instead of selecting the company in the left column.
Just click on the left on the name of the company and choose for 'Invite this company'
2.2. Your carrier is known on the Streamliner platform.
Click on ‘Find companies to invite’, a dialog box will open and you can type in the name or VAT N° of the company you are looking for. Also a partial name will work. Streamliner starts searching as soon as you type 3 characters.
If the company exists, simply select the company and click on Ok.
The representative of this company will receive an email with the question to accept your invitation, just like in previous case.
2.3. Your carrier is not known on the streamliner platform.
This will take a couple of minutes work from your carrier. Please pass him the miniguide to onboard and assist him in joining the platform. His subscription is free so there’s no reason why you should hesitate to invite him.
Click on ‘Find companies to invite’, a dialog box will open and you can type in the email of the representative of the carriers company.
This person will receive the following mail, similar to the mail that your company received.
2.4. Follow up your invitations
You can follow on company level if your carrier has accepted your invitation yes/no. You can resend the invitation, change the email address or delete the invitation if the carrier is not willing to collaborate.
You will also see on your dashboard that you have pending outgoing invitations
Only carriers that have accepted your invitation to collaborate can be selected for your transport orders.
3. Create a transport order and assign to a carrier
In the miniguide ‘Book a slot to deliver’ you learned how you could book a slot for a selection of orders to deliver the goods.
The functionality to create a transport order for a carrier and ask the carrier to book the slot to deliver is more or less identical.
3.1. Order selection.
Select the order(s) in the order overview and place them in the basket. Push ‘Pack’, the default action.
3.2. Create Transport Order.
Streamliner will guide you through a simple process to create a transport order for your carrier where you decide on the pick up place and date and the volumes to be transported.
- Give the reference between you and your carrier. This can be your ASN N° as example. You can even link the ASN document afterwards to the Transport Order. This reference is normally the reference that will be used by your carrier to select what he has to deliver. Your carrier is not necessary aware of the orders numbers that you as supplier will deliver to your customer. (ASN = Advanced Shipping Notice or DESADV)
- check this box if this is the only or last order you need
- Add the packaging units that you will ship
- Add extra orders if you wish to deliver in same shipment
- Select your carrier (you can set a default in your company settings) Your own company is the carrier by default. Please pay attention to set to the one that you need.
-
Select the pick-up location. You can only use a transport order if you defined the possible pick up locations in your supply chain tree. See mini guide ‘Onboard as Supplier’ or the knowledge base if you need help.
If you see this message there are no pick up locations found with yard management enabled. please enable yard management in the form "add new location" see onboard as a supplier if you need more information. step by step guide to onboard as a supplier
- Pass the date and time when the goods can be picked up to your carrier.
- And any extra information you want to pass to your carrier
Just click on ‘pack’ in the right upper corner if all data is ok. Click cancel, the cross on the left right top, to cancel this operation and return to the order overview.
Congrats: you just booked your first transport order:
4. Follow up if carrier takes the initiative to book a slot
The menu option ‘Transport Orders’ opens a screen with an overview of all transport orders that you have placed.
Transport orders have 2 states
- Your carrier booked a slot to deliver. The first dot becomes green as soon as your carrier booked a shipment.
- The transport order is completed when shipment is completed. No action is needed from your site. This is just to follow up.
5. Communicate with your carrier and share documents.
Like for orders you can use the communication layer to follow up your carrier. Your carrier will receive an email with your question. This information is not share with your customer, except if you give your consent.
you can also attach any document like CMR or other to this Transport Order. These documents are only visible for you and your carrier, except if you give your customer permission to see it.
